Digital HR for Vaudoise Assurances

Vaudoise approached blue-infinity to help digitally transform their HR systems.

Vaudoise Assurances faced numerous challenges linked to human resources and digital transformation.

Numerous challenges

From their Lausanne HQ, Vaudoise operates a network of 90 private insurance agencies with 1,500 employees in Switzerland. Their challenges involved accelerating change processes, decentralizing administrative processes at managerial and employee levels, data integrity, consolidation and rapid availability of key indicators, difficulties in attracting and retaining new talent, and specialized profiling and changing skills requirements.

In response, Vaudoise Assurances worked with us on their Access software solution, to implement their new HR Information System (SIRH).

Building in stages

The first stage consisted of guiding the client in the organization and direction of their project.

Once the framework was established, the project underwent standard project phases like gathering of requirements using gap analysis, system configuration, testing and acceptance, and deployment of the solution.

Understanding user needs

Regular workshops were held with key users to understand the needs of each module, involving the perspectives of IT technicians and expert users. This was primarily based on a software implementation that remained true to its native functionality. Thus the initial workshops focused on presenting the out of the box product and how it handled user needs.

Non-standard functionalities requested by the client were identified and included in the planned implementation.

Frequent client contact

During the implementation phase, there was frequent interaction between the development team and the client for writing scenarios and test cases. blue-infinity also assisted during the acceptance period, by offering expertise and conducting tests.

Each deployment period required close monitoring of both technical data recovery and automation - and change management of communication and training aspects.

Self-service HR portal

Personnel administration, organisation and time management modules are live since July 2014. Their employees and managers can now access a portal enabling self-service HR, and clock-in /clock-off with a single click via the corporate intranet.

With a network of 90 private insurance agencies, Vaudoise Assurances successfully digitised their HR systems to serve 1,500 employees in Switzerland.
